Layout Instructions

Standards for Word / LaTeX typesetting, proof inspection and final PDF production.

Purpose. These instructions guide ZAHRA layout editors in preparing consistent, readable, and verifiable publication files from the approved manuscript. The supplied ZAHRA Article Template V2 provides the visual reference for article typography, header and footer design, article history, and the presentation of scientific elements.

1. Layout source and production workflow

  1. Obtain the copyedited and author-approved file from the handling editor. Check that source text, tables, graphics and bibliography are complete.
  2. Use the approved journal Word V2 or corresponding LaTeX project as the production base, avoiding independent redesign of title styles, headers or metadata.
  3. Prepare figures and tables using high-quality source assets. Ensure equations remain visually legible and are not accidentally converted into broken characters.
  4. Generate PDF galley files and review every page for clipping, misplaced captions, missing characters, line breaks, broken footnotes and reference overflows.
  5. Send publication proofs through the approved editorial workflow; incorporate authorised corrections and export the final gallery for publication.

2. Document size and article typography

Layout elementJournal reference
Page size and columns A4, single-column article layout in the Word V2 reference.
Title Times-family text, approximately 20 pt, sentence case, as shown in V2.
Author names Approximately 11 pt bold Times in V2; affiliation indicators correctly superscripted.
Affiliations and history Smaller Times styling with complete institutional details, correspondence marker, and received/revised/accepted/available-online dates supplied from actual records.
Body Times-family manuscript text, justified, consistent with the approved article template and effective journal guidelines.
Abstract Boxed abstract as presented in V2; formatting and required word count must match the editor-approved policy.
Headings Consistent heading hierarchy and spacing. Use the designated template styles rather than manual ad hoc numbering.
References IEEE-style numbered references using [1], [2], etc., with hanging indentation or template-prescribed formatting.

3. Journal title, branding and identifiers

Use the official journal title ZAHRA: Bulletin Big Data, Data Science, and Artificial Intelligence and the e-ISSN 2830-7984. Preserve the published journal identity, publisher name Asosiasi Peneliti Data Science Indonesia (PDSI), and article metadata. The Word V2 document contains the inconsistent legacy number 2548-7779 in some footers; replace that number with 2830-7984 in production proofs.

4. Tables, figures and captions

  • Position tables and figures close to their first textual discussion; each must be referred to by number.
  • Place the table caption above its table and the figure caption below its figure. Apply sequential numbering and consistent punctuation.
  • Use readable axis labels, units, legends and sufficient contrast. Avoid rasterised text when a vector graphic or high-resolution original is available.
  • Check that table columns fit the page width, that figures are not distorted and that captions remain associated with the correct element.
  • For graphics based on external works, preserve attribution and ensure any necessary permission and licence information is documented.

5. Equations, citations and supplementary material

  • Centre displayed equations, assign consecutive parenthesised equation numbers and ensure all symbols are defined.
  • Maintain consistent font families for variables and correct subscripts, superscripts and mathematical operators.
  • Confirm every in-text reference number maps to the correct entry in the reference list and follows numerical appearance order.
  • Ensure supplementary materials referred to in the article are identifiable and linked or archived only after editorial approval.
  • Do not add a persistent identifier, URL, volume, issue, page range or final publication date unless it is confirmed in the OJS production record.

6. Page furniture and output files

Header and footer information should agree with the article record. Page numbering, article title abbreviations, volume, number, year, and pagination must not be invented during layout. The PDF must preserve readable text and searchable character content where possible, with embedded fonts and no missing glyphs. Use the available PDF export settings to avoid image compression that makes diagrams or small labels unreadable.

7. Word and LaTeX production considerations

Word productionLaTeX / Overleaf production
Work from the approved DOCX and retain the journal paragraph styles, tables and header/footer sections. Use the verified LaTeX source/project, preserving its .tex, .bib, figures and style assets.
Insert high-resolution graphics and check equations after PDF export. Compile the project with the documented engine and bibliography workflow; inspect and resolve compilation warnings.
Verify the e-ISSN in each header/footer, and check the first-page article history. Match title block, abstract, heading hierarchy, citations and page furniture to the approved Word visual reference.
Review the PDF manually at normal reading size. Review the compiled PDF at normal reading size and compare its visual metadata with the Word reference.

8. Final prepublication quality assurance

  1. Compare the PDF line-by-line in critical scientific portions with the accepted source: abstract, main results, conclusions, tables, equations and references.
  2. Check every page for text overlap, blank figures, overflow, fonts, pagination, metadata and errors caused by export or compilation.
  3. Verify article title, author names, affiliation and contact details against OJS metadata.
  4. Confirm the displayed licence notice matches the approved policy and actual article-level rights information; do not silently change the licence between files.
  5. Obtain publication approval and archive the final source and PDF in the journal production record.
Production accuracy: The cover’s orange/yellow/blue/green branding guides the journal website and issue identity. Do not recolour or alter the Word V2 article artwork without an approved template revision. Visual consistency must not override bibliographic accuracy.
